The purpose of the meeting is:
(a) to confirm the minutes of the last annual general meeting and of any general meeting held since that meeting; and
(b) to receive from the committee reports on the activities of the association during the last financial year; and
(c) to elect members of the committee, including office-bearers; and
(d) to receive and consider the statement of accounts and the reports that are required to be submitted to members under the Act, section 73 (1).
Membership
Membership renewal is also due at this time. You can renew your membership, or pay for your first membership, on the day. Membership fees are as follows:
- Full-time employed: $25
- Students: $17
- Child (under 14): $10
Please download and print the Membership Form from the website. Blank forms will be available on the day.
Constitutional Requirements
There are certain constitutional requirements that we are required to follow. Please refer to the AAF Constitution for complete details.
Proxy Votes
If you are unable to attend the meeting, you may submit a Proxy Vote, according to the following procedure:
(1) Each member is entitled to appoint another member as proxy by notice given to the secretary no later than 24 hours before the time of the meeting for which the proxy is appointed.
(2) The notice appointing the proxy must be in the form set out in appendix 2 [of the constitution].
Also, according to Section 31, no single member may hold more than five proxies. No proxy can be accepted unless it follows these rules. Please submit your proxies on the appropriate form to Andrew Gould no later than 2pm on Friday 3rd. Election of Committee Members
See Section 15 of the Constitution. Nomination of candiates for election:
(a) must be made in writing, signed by 2 members of the association and accompanied by the written consent of the candidate (which may be endorsed on the nomination form); and
(b) must be given to the secretary of the association not less than 7 days before the date fixed for the annual general meeting at which the election is to take place.
If insufficient nominations are received, nominations may be made at the meeting. Please submit your nominations to Andrew Gould no later than 2pm on 28 January, contact details supplied above.
Please note that all this is not the Secretary being needlessly pedantic. We actually have a legal obligation under the Associations Incorporation Act 1991 to follow these procedures.
